How do I obtain a replacement certificate?
The original registers containing all birth, death and marriage entries are kept at the Register Office in the district where the event occurred and certificates can be issued from them upon payment of a fee. At Southampton Register Office y ou can apply by post, in person or by phone (in most cases). If you are unsure of the date of the event a five year search will be made. If the record still cannot be found your fee will be refunded.

By post
You can either download an application form (see links) or write a short letter which should include the date and place of the birth, death or marriage and the full names(s) of the people concerned (including parents' names if applying for a birth certificate). Send this to us together with a cheque or postal order payable to 'Southampton City Council' and enclose a stamped addressed envelope. Your application will normally be dealt with on the same day that we receive it.
In person
We will ask you to complete an application form when you arrive or to save time you can download one to complete and bring with you. On receipt of the fee we will let you know how long it will take to search for the entry and prepare the certificate. You will be offered the choice of calling back for it or you can provide postage for it to be forwarded to you. We can accept payment by cash, cheque (with a guarantee card) or credit / debit card.
By phone
You will need to have your valid credit or debit card handy when you phone. We will ask you the questions necessary for the completion of an application form as well as your own name and home address. We will then ask for information necessary for the card transaction. Your application will be dealt with and, provided we can find the entry you require, the certificate will be issued and posted to you. Please note there is a 50p post and handling charge for all card transactions.
