Music Groups - Request Service

• Groups should register at their local Southampton Library

• One group member must complete the registration accepting responsibility for all sets the group borrows

• Please send an email or fill in the special request form (find the form further down the page under 'related links') with the full details of the requested set to: interlibrary.loans@southampton.gov.uk

We suggest you choose a collection date at least 2 weeks prior to your first rehearsal

• You may place requests up to 12 months in advance of date sets are required

• No requests will be accepted less than 12 week before the required date

• Orchestral sets ) £15.00 per standard orchestral set

• Vocal sets - £15.00 per 40 or part (e.g. 30 copies = £15.00 but 50 copies = £30.00)

• All fees must be paid on collection of the set or earlier

• Fines will be charged on sets returned late at advertised rates

• We will acknowledge your request and respond with a copy of submitted information within 5 working days

• We will let you know as soon as we have confirmed a supplier for your request but no later that 8 weeks of your request being received

• Once we have told you that we have found a supplier your request charges will be due (see charges below)

• We will let you know if we have difficulties obtaining a supplier for your request as soon as possible but no later than 8 weeks of your request being received.

• We will confirm the date for pick up and branch by email when we have the set(s) on site.

• Occasionally there can be delays in obtaining sets as groups return sets late to libraries. We cannot be held responsible for late return of other sets. We will keep you updated by email if this occurs and any actions we will take.

• We will check that the sets are as requested and let you know of any discrepancies before you collect the sets

• Please bring your group's library card to borrow and collect your set(s)

• We prefer the named group representative to collect the sets in case of an queries

• Each set will be provided with one or more summary slips confirming number of items, supplier and date due for return to the library

• Please check sets as soon as possible and let us know if there are any discrepancies from the summary slips and let us know within 5 working days of pick up

• Please return the set(s) by the date due. Any delays may cause problems for other groups

• Late sets will be subject to fines

• Please check that the sets are complete and in good condition

• Please inform staff of any problems as soon as possible

• Please contact us immediately if you have any difficulties returning the complete set by the due date. We will discuss possible options with you.

• Missing or damaged parts must be replaced or paid for immediately and before further sets are loaned

• It is the group representative's responsibility to return sets complete and in good condition to a member of staff by the agreed date

• We may not be able to loan further sets while any charges or sets are outstanding
