Card payments

We are aware that some customers have been experiencing issues with card payments, which are currently under investigation. We apologise for any inconvenience and if your payment is either interrupted or fails to complete, we recommend that you first check the payment with your bank before attempting to make the payment again.

 

Certificate update

All certificate applications are completed and paid for online. Please ask family or friends to assist you in completing the online form if you are experiencing difficulties. Please visit Certificates, then select 'order a certificate' from the page menu.

Additional services for postal delivery can be purchased at the time of ordering a certificate giving you peace of mind. For UK addresses a ‘signed for’ service and for addresses abroad, the international tracking service. All certificates ordered will be a postal delivery out to the customer only.

Certificate delivery times by non-tracked postal services can be subject to delays out of our control. Please note the timeframes of the service you choose.

Standard Service: £11 per copy – Certificates are usually ready for posting out by second class post within 15 working days.
Priority Service: £35 per copy – Certificates will be ready for posting out by first class post before the next working day. (Orders must be placed between the hours of 10am and 3pm).

You must allow extra time for your certificate to arrive before you try to contact us. Once the certificates leave this office, we cannot be held responsible for the time it takes to reach your address. For up-to-date information visit the Royal Mail website.

For UK addresses - If your certificate has not arrived after one month (from the date we have issued it), please contact us. We are unable to treat your certificate as “lost” until one month has passed.

For addresses abroad – If your certificate has not arrived after six weeks (from the date we have issued it) please contact us. We are unable to treat your certificate as “lost” until six weeks have passed.

Southampton City Council will not be held liable for any loss, damage or expense as a result of delays or failure to provide certificates arising from circumstances beyond the Council's reasonable control. Certificates not received must be notified to this office within six months of the original order date.

Ordering a copy certificate

Southampton Registration Services are only able to supply certificates for births, deaths, marriages or civil partnerships that took place within the Southampton City Boundary since 1 July 1837.

This is essentially if the event took place in postcode areas SO14-SO19 however, there are some exceptions, so please check with the local authority of the area where you should apply to.

If the event occurred outside of this region, you will need to apply directly to the relevant area - for example, neighbouring areas, such as Hythe, the New Forest, Totton or Eastleigh, fall under the control of the Hampshire Registration Service

If you are unsure which area the birth, marriage, death or civil partnership took place in, a free service such as BMD, Find My Past or Find a Register Office may be able to help you.


Adoptions

If you were adopted and require a certificate for current identification purposes, such as passport applications or employment, apply to the General Register Office in Southport.

If, however, you require a copy of your original birth certificate and were adopted before 12 November 1975, you will need to attend a counselling session with an approved adoption advisor first.


Fees

The fees for copy certificates include one certificate, postage and a search fee of up to five years. Additional copies of the same entry will incur the same fees.

Further searches of up to 10 years can be requested on the online application form. An additional non-refundable fee of £10 is payable.

All services are subject to the entry being traced from the information you provide when applying. If this is inaccurate or uncertain it may cause a delay in the service you require.

This service is a higher fee for a quicker service. If we cannot find the record based on the information you have provided, or it is out of the city boundary, you will only receive a refund of the certificate fee (£11).   • Additional Services for postal delivery can be found on the application form. For UK addresses a ‘signed for service’ and for non-UK addresses an ‘International tracking Service’ is available as extra

Online applications made after 3pm will be treated as being ordered on the next working day.
